Gestion Immobilière Kabinaa Inc., doing business as Premium Booking (“we”), protects the personal information entrusted to it in connection with its accommodation and reservation management activities. This Privacy Policy explains what information we collect, why we use it, with whom we may share it, and how you can exercise your rights.

It applies in particular to guests, property owners, visitors to our websites, people who communicate with us, as well as applicants, employees, and collaborators.

1 . Information Collected

Depending on your relationship with us, we may collect :

• your contact information, such as your name, email address, and phone number;
• information necessary for an inquiry, reservation, or stay, including dates, the property concerned, communications, and special requests;
• information required to verify the identity of the primary guest, including an identity document when such verification is requested;
• information relating to property owners and the management of their properties, including their contact information and the information necessary for statements and payments;
• information provided in a job application or in connection with an employment or collaborative relationship;
• technical information generated when using our websites, including through cookies.

Some calls may be recorded. When you book through a third-party platform, it may also provide us with the information necessary to process the reservation.

2 . Use of Personal Information

We use personal information to respond to inquiries, provide and manage our services, process reservations and payments, verify identity when necessary, communicate with guests and property owners, manage stays, claims and statements, recruit and administer our employment relationships, ensure the security of our activities, and comply with our legal obligations.

With your optional consent, we may also send you promotional communications by email and text message. This choice is separate from the reservation: you may make a reservation without agreeing to receive these communications and may withdraw your consent at any time. Messages necessary to manage a reservation or stay may nevertheless continue to be sent to you.

3 . Payments and Identity Verification

Payments for direct reservations are processed through a secure payment system. Premium Booking does not retain the payment card numbers or banking information provided by guests to make these payments.

When an identity document is required for a stay, it is transmitted and stored in a secure system. Premium Booking does not retain a copy in its local files. This verification concerns the primary guest.

4 . Communication and Access

We limit access to personal information to individuals who need it to perform their duties.

Service providers may have access to personal information in order to help us operate our systems, process payments, manage reservations, and provide our services. We require them to protect the information to which they have access.

Our teams and certain service providers may access personal information from outside Quebec. Before disclosing personal information outside Quebec where required by law, we assess the relevant factors and take appropriate protective measures.

As part of the monthly statements sent by email, the owner of a property may receive the guest’s name, the dates of the stay, and the amount associated with the reservation. Premium Booking remains the intermediary for guest communications and claims. A booking platform may, for its part, make certain information available to the owner depending on how it operates.

We may also disclose information where required or permitted by law.

5 . Cookies

Our websites may use cookies that are necessary for their operation, as well as cookies used to measure their use or support our advertising activities. You can manage certain cookies through the choices offered on our website or through your browser settings, depending on the available features.

6 . Retention and Security

We retain personal information for as long as necessary for the purposes described in this policy and to comply with our legal obligations. When it is no longer required, we destroy or anonymize it in accordance with applicable requirements. Manual deletion may be performed where appropriate.

We use secure systems and limit access to authorized individuals. However, no security measure can completely eliminate the risks associated with the transmission and storage of information.

If we become aware of an incident involving personal information, we take the necessary measures to limit its consequences and prevent it from happening again. We notify the individuals concerned and the Commission d’accès à l’information when required by law.

7 . Your Rights and Choices

You may request access to the personal information we hold about you, its correction or, where applicable, its deletion. You may also withdraw consent given for an optional use, subject to any consequences that will be explained to you where necessary and to our legal obligations.

You may also request to receive, in a structured and commonly used technological format, the computerized personal information that you have provided to us, where provided by law.

To stop receiving promotional communications, you may use the unsubscribe link in an email, follow the instructions provided in a text message, or contact us.

Any complaint concerning the protection of personal information will be reviewed by the Privacy Officer, who will provide a response to the person concerned.

We may modify this policy to reflect changes in our activities or applicable requirements. The current version will be published on our website with its updated date.
